We take data protection seriously

Protecting your privacy when processing personal data is important to us. When you visit our website, our web servers will, by default, store your internet service provider’s IP address, the website from which you have been referred, the web pages you visit on our site, and the date and duration of your visit. This information is necessary for the technical transmission of the web pages and the safe operation of the servers. There is no personalised analysis of these data.

If you send us data using a contact form, these data are stored on our servers as a backup. Your data will only be used by us for processing your request. Your data will be kept strictly confidential. Your data will not be shared with any third party.

Personal data

Personal data are data concerning your person. They include your name, your address and your email address. You do not need to disclose any personal data in order to be able to visit our website. In some cases, we need your name and address and some further information in order to be able to provide the desired service.

The same applies when we provide you with information material at your request and/or respond to your enquiries. In these cases, we will always inform you. Furthermore, we will only store data transmitted to us automatically or voluntarily by you.

If you use one of our services, we will usually only collect the data necessary for us to provide our service to you. We may ask you for further information on a voluntary basis. Whenever we process personal data, we do so in order to be able to provide our service or to further our commercial objectives.

 

Data stored automatically

Server log files 

The provider of the website automatically collects and stores information in server log files which are transmitted to us automatically by your browser. These include:

  • The date and time of the request
  • The name of the file requested
  • The page from which the file was requested
  • The access status (file transmitted, file not found, etc.)
  • The web browser and operating system used
  • The complete IP address of the computer making the request
  • The volume of data transmitted

These data are not combined with any other data sources. Processing is based on our legitimate interest in improving the stability and functionality of our website in accordance with point (f) of Art. 6 (1) of the GDPR.   

These data are stored by us for a limited period for reasons of technical security, in particular to defend our web server from attempted hacking. It is not possible for us to identify individuals on the basis of these data. After no more than seven days, the data are anonymised by truncating the IP address to domain level, so that it is no longer possible to relate it to an individual user. Once anonymised, the data are also processed for statistical purposes; the data are not matched to other databases or shared with any third party, even in part. The number of page views is only reported as part of our server statistics, which we publish once every two years in our activity report.

 

Cookies

When you visit our website, we may store information on your computer in the form of cookies. Many cookies contain a so-called cookie ID. A cookie ID is a unique identification of the cookie. It consists of a character string by which websites and servers can be matched with the specific web browser in which the cookie was stored. This allows the websites and servers visited to distinguish the data subject’s individual browser from other web browsers which contain other cookies. A specific web browser can be recognised and identified using the unique cookie ID.

By using session cookies, the controller is able to provide the users of this website with a user-friendly service which would not be possible without setting cookies.

By means of a cookie, the information and offers on our website can be optimised for the user’s convenience. As already mentioned, cookies allow us to recognise the users of our website. The purpose of this recognition is to make it easier for users to use our website. For instance, users of a website which uses cookies will not need to enter their login details every time they visit the website, as this will be done by the website and the cookie saved on the user’s computer system. Another example is the cookie for a shopping basket in an online shop. The online shop remembers the items a customer has put in the virtual shopping basket by means of a cookie.

 

COOKIE BANNER AND COOKIE CONSENT

Our website uses the TYPO3 template “Cookieman” as a cookie banner and consent tool. This creates a GDPR-compliant cookie notice for visitors to our website. The legal basis of the data processing is point (c) of Art. 6 (1) of the GDPR in connection with point 2 of Section 25 (2) of the German Telecommunications and Telemedia Data Protection Act (TTDSG) – our duty to provide information on the processing of cookies and storing of consent or refusal of technically not required cookies (point (a) of Art. 6 (1) of the GDPR). You can withdraw your consent at any time, for example by closing your browser and then accessing our website again. Our cookie consent tool will store your cookie settings in a session cookie called “CookieConsent”. This cookie is automatically deleted when the browser is closed.

 

MATOMO WEBSITE ANALYSIS AS A SOFTWARE SOLUTION

For the purposes of website analysis, some data (IP address, time of visit, device and browser information, and information about your use of the our website) are collected and stored automatically using Matomo software by InnoCraft Ltd. https://matomo.org, 150 Willis St, Wellington 6011, New Zealand, and used to create user profiles using pseudonyms. Cookies may be used for this purpose. The pseudonymised user profiles will not be combined with personal data concerning the bearer of the pseudonym without their express consent, which must be given separately. Data processing by Matomo takes place on our servers.

 

Google Maps

Our website uses Google Maps (API) by Google Ireland Limited, Gordon House, 4 Barrow St, Dublin 4, D04 E5W5, Ireland (“Google”). Google Maps is a web service displaying interactive maps so as to visualise geographical information. By using this service, you will be shown our location, making it easier to find us.

When accessing those subpages in which Google Maps is embedded, information about your use of our website (such as your IP address) will be transmitted to Google’s servers and stored there; this may also involve data being transmitted to servers of Google LLC in the US. This happens irrespective of whether Google provides a user account through which you are logged in, or whether there is a user account. If you are logged in to Google, your data will be directly linked to your account. If you do not wish for Google to link data to your profile, you have to log out before clicking on the button. Google will store your data (including for users not logged in) as user profiles and analyse these. These data are collected, stored and analysed in accordance with point (f) of Art. 6 (1) of the GDPR, on the basis of Google’s legitimate interest in displaying personalised advertising, conducting market research and/or giving Google websites a needs-based design. You have the right to object to these user profiles being created; to exercise this right, you need to contact Google.

If you do not agree to the future transmission of your data to Google in the context of your use of Google Maps, you also have the option of deactivating the Google Maps web service completely by disabling JavaScript in your browser. Google Maps including the map display on this website can then no longer be used.

Contact form

To communicate with you by email, telephone or post in connection with contact requests, complaints, appointments and appointment reminders, we will process the personal data provided by you on the contact form.

This processing is based on our legitimate interest according to point (f) of Art. 6 (1) of the GDPR.

We have taken technical and administrative security measures to protect your personal data against loss, destruction, manipulation and unauthorised access. All our staff and any service providers working for us are bound to comply with applicable data protection legislation.

Whenever we collect and process personal data, these are encrypted before being transmitted. This means that your data cannot be misused by any third party. Rights of data subjects

At any time, you have the right of access to your stored data, to rectification, erasure, or restriction of processing of your data, to object to the processing, to data portability, and to lodge a complaint in accordance with the provisions of data protection legislation.

 

Right of access:

You can obtain from us confirmation as to whether or not personal data concerning you are being processed by us.

Right to rectification:

If we process your data and such data are incomplete or inaccurate, you can at any time ask us to rectify or complete them.

Right to erasure:

You can obtain from us the erasure of your data if we process these data unlawfully or if the processing disproportionately affects your legitimate interests in protection. Please note that there may be reasons against immediate erasure, e.g. in case of statutory retention obligations.

Irrespective of your exercising your right to erasure, we will erase your data immediately and completely, provided and to the extent that we are not prevented from doing so by any contractual or statutory retention obligation.

Right to restriction of processing:

You can obtain from us the restriction of processing of your data if:

  • You contest the accuracy of the data, for a period enabling us to verify the accuracy of the data;
  • The processing of the data is unlawful but you oppose their erasure and request the restriction of their use instead;

Right to data portability:

You can request from us that we make your data, which you have provided to us, available to you in a structured, commonly used and machine-readable format and that you can transmit these data to another controller without hindrance from us, where:

-              the processing of these data is based on consent given by you and revocable by you or for the performance of a contract between us, and

-              the processing is carried out by automated means.

Where technically feasible, you can have the data transmitted directly to another controller.

Right to object:

If we process your data on the basis of our legitimate interest, you can object to this data processing at any time; this would also apply to any profiling based on these provisions. We will then no longer process your data unless we can demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms, or for the establishment, exercise or defence of legal claims. You can object at any time, without giving reasons, to the processing of your data for direct marketing purposes.

Right to lodge a complaint:

If you consider that, in processing your data, we infringe German or European data protection law, we request that you contact us so that we can resolve any queries. You also have the right to contact the competent supervisory authority, which is the relevant state data protection commissioner.
